Terms of Use

By creating an account, purchasing a subscription, or using FlyVex Sports services, you agree to these Terms of Use (version 2026-07-26-v2).

If you do not agree, do not use the services.

Athlete dossier accounts are intended for parents or legal guardians who are at least 18 years old.

Coach Portal / FlyVex GymOS™ accounts are intended for adults authorized to administer a gym or organization account.

A payment method on file does not, by itself, conclusively verify parenthood or legal guardianship. You are responsible for the accuracy of any adult, parent, guardian, or authority certifications you provide.

FlyVex Sports provides tools to create, organize, publish by private link, and selectively share athlete dossier information; FlyVex Guardian™ parent controls for privacy, sharing, and permissions; FlyVex Connect™ for exact-gym connection requests; FlyVex GymOS™ tools for gyms/coaches to operate rosters, calendars, notices, and meet records; and optional FlyVex Legacy Archive™ preparation for parent-controlled athlete accounts.

Features may change over time. We may update, suspend, or discontinue features with reasonable notice where practicable.

Before FlyVex knowingly collects personal information online concerning a child under 13 in circumstances covered by COPPA, FlyVex will provide the required direct notice and obtain verifiable parental consent through a method reasonably designed, in light of available technology and the circumstances, to confirm that the person providing consent is the child’s parent or legal guardian. This process is intended to provide reasonable verification and does not constitute an independent legal determination of parentage, guardianship, or custody.

By completing FlyVex’s parental-consent process, the person providing consent represents and certifies that they are the athlete’s parent or legal guardian, or otherwise possess legally sufficient authority to authorize FlyVex’s collection, use, storage, and disclosure of the athlete’s information. The consenting person authorizes FlyVex to collect, use, and maintain the child’s information for the purposes described in these Terms, the Privacy Policy, the direct notice presented to the Parent, and the Parent’s selected features and visibility settings.

FlyVex may request additional information reasonably necessary to verify the consenting person’s identity, age, or authority, particularly when required by law, when a request involves access to or deletion of a child’s information, or when FlyVex identifies a reasonable concern regarding account ownership, consent, safety, fraud, or unauthorized access. FlyVex is not required to obtain or independently review court orders, birth certificates, custody records, or similar legal documents in every case.

Refusing or withdrawing required consent may limit or prevent use of features involving the child’s information.

You are responsible for maintaining the confidentiality of your login credentials and for activity under your account.

You must provide accurate information and keep it reasonably up to date.

You may not upload content you do not have the right to use, or use the service for unlawful, harmful, or abusive purposes.

Published athlete dossiers may be private by link. Anyone who receives or obtains a private link may be able to view and further share it. Private links are not a guarantee against redistribution.

Through FlyVex Guardian™, parents control publication, visibility settings, private-link replacement, and FlyVex Connect™ approvals, subject to these Terms and applicable law.

FlyVex Connect™ allows a parent to authorize a specific gym and its approved coaches to access athlete information made available through the Connect pathway.

A valid Connect Code begins a request only. The gym confirms the athlete and the parent gives final approval. Possession of a Connect Code alone never grants access.

Approval for one gym does not authorize another gym. Approvals may be revoked by the parent through FlyVex Guardian™ or by the gym, subject to processing time and technical limitations.

Paid plans renew according to the Subscription and Cancellation Policy and the plan shown at checkout.

You authorize recurring charges for the selected plan until canceled in accordance with that policy.

FlyVex GymOS™ is billed monthly until canceled and applies to one physical gym location. Businesses with multiple independently operated physical locations require a separate GymOS subscription for each location. Authorized coaches may access the subscribed gym account according to permissions set by the gym administrator. Roster size does not change the current GymOS subscription rate. Athlete dossier subscriptions remain separate, and FlyVex Connect™ does not by itself create or charge an athlete subscription. FlyVex may maintain reasonable-use and technical limits (including for storage, media, messaging, and automated usage). Pricing may change prospectively for future billing periods with legally appropriate notice.

FlyVex Legacy Archive™ is an optional one-time purchase and is not a recurring athlete or coach subscription.

FlyVex Legacy Archive™ is an optional, separately purchased premium service that organizes eligible athlete dossier data into a season-by-season digital archive for the family to download and preserve. It is distinct from any free or legally required privacy-rights data access, inspection, correction, deletion, or portability export.

The fee covers organization, formatting, package generation, review, temporary storage preparation, and secure delivery of expiring download links. Price depends on the number of archive-eligible seasons under FlyVex’s published schedule and is currently capped at $49.99 unless FlyVex updates that schedule.

An included season generally means the athlete has meaningful season-linked records (such as meet results, timeline entries, athlete updates, media, or season statistics), deduplicated by canonical season year. Account age alone does not create a billable season.

Archive availability depends on data remaining in the account and being eligible for inclusion at the time of preparation. Deleted data cannot necessarily be reconstructed. FlyVex does not promise indefinite server retention of delivered archives.

The family is responsible for downloading and preserving the archive before download links expire. Expired links may require regeneration, which may involve additional verification and, where disclosed at the time of request, possible fees.

Large media collections—especially videos—may be delivered in separate packages, each with its own private expiring link. FlyVex may pause or refuse fulfillment for fraud, safety, ownership, legal, or authority concerns, and may re-verify parental authority.

FlyVex does not claim to transfer ownership of third-party content where it lacks authority. Refunds are generally available before preparation begins; once preparation or review has started, refunds may be limited subject to applicable law and FlyVex policy.

The services are provided on an “as is” and “as available” basis to the fullest extent permitted by law.

We do not guarantee uninterrupted availability, absolute security, or that private content cannot be reshared once a link or access grant exists.
